Run a hybrid annual meeting from one desk

Approve who enters, appoint who votes, put questions on the hall screens, and publish the result — for people in the room and online.

Registration with approval, one ballot per member organisation, live polls and motions with quorum, moderated questions, and a production-ready stream. Built for a constitutional AGM, not a webinar RSVP page.

Capabilities

The work of a constitutional AGM, in one place

AGM Platform is an operations tool for the organisation that runs the annual meeting. It is built around delegate AGMs: member organisations send people, your staff approve them, and one designated voter casts each ballot. It is not a webinar RSVP page, and it is not a multi-tenant product catalogue.

Know who is in the room

Treat admission as a controlled process, not an open registration link.

Delegates apply, staff approve, and arrivals are matched against the official expected-delegate list. Door and online check-in keep a live picture of who is on site — in the hall and remote.

  • Application and approval before the day
  • Match against the expected-delegate list
  • Door check-in and online check-in
  • Live who-is-on-site view for the desk

Vote the way your rules work

Ballots follow your constitution, not a generic poll widget.

The default is one designated voter per member organisation, with optional weights. Voters can use a PIN or a signed-in ballot. Motions carry configurable quorum. The platform does not offer proxy, postal, or advance voting.

Questions the chair can trust

Nothing reaches the hall screens until staff say so.

Collect questions in advance and live. Moderators review, hold, or send them to the screens the room and the stream can see — so the chair is not reading an unfiltered feed.

  • Advance questions and live questions
  • Staff moderation before anything is shown
  • Hall-screen queue the chair can work from

A meeting people can actually watch

Remote attendance is part of the meeting, not a side link.

In-page stream options keep the session in the same place as papers, questions, and ballots. A device check reduces join-time surprises. Optional ask-to-speak and a green room help the chair take contributions in order.

Papers and messages in one place

The pack, the inbox, and the timetable sit with the meeting.

Publish the agenda, downloads, and a press pack from the same desk. Staff can edit email and SMS copy and schedule mailings so delegates are not hunting across three tools for the papers.

  • Agenda and downloads
  • Press pack
  • Editable email and SMS
  • Scheduled mailings

A desk that survives the day

The meeting team can see turnout, lock the door, and prove what happened.

Live turnout, badge print, and lockouts keep the floor manageable. Optional two-factor authentication and a single-session rule protect staff accounts. The audit log records actions and never stores secrets.

  • Badge print and lockouts
  • Optional 2FA and single-session sign-in
  • Audit log that never stores secrets

How it works

Before, on the day, and after

The same desk covers preparation, the hybrid sitting, and the record you keep once the hall is empty.

  1. 01 · Before

Set the list and the pack

Load the expected-delegate list, open applications, approve who may attend, and appoint the designated voter for each member organisation. Publish papers, schedule mailings, and prepare motions and quorum rules before anyone travels.

  2. 02 · On the day

Run hall and remote as one meeting

Check people in at the door and online. Start the stream, moderate questions onto the hall screens, open ballots and motions, and watch turnout and quorum from the same desk.

  3. 03 · After

Publish the result and keep the record

Close the meeting, publish the result, and leave papers available to those who should still see them. The audit trail remains — without passwords, PINs, or other secrets stored in it.

Trust and security

Controls the meeting secretary can explain

Constitutional meetings need a record that stands up afterwards. These controls are part of the product — not a slide about a future roadmap.

Approval gate

Attendance is applied for and approved, then matched to the expected-delegate list.

MFA optional

Staff accounts can require a second factor when your security policy asks for it.

PIN lockout

Ballot PINs lock after repeated failures so guessing does not become a method.

Single session

A sign-in can be limited to one active session so shared machines do not linger.

Audit without secrets

The log records who did what. It does not store passwords, PINs, or recovery codes.
